Vendor / Exhibitor Planning Guide
Vendor Registration
Vendor registration opened on Wednesday, September 14 at 12:00 PM (EDT).
Registration enables a vendor to obtain a booth space on the exhibition floor and also provides 2 conference passes. Additional conference passes, as well as education day passes, can also be purchased by vendors at the regular attendee prices.
Registration also allows a vendor the opportunity to request one or more of the following optional features:
- a Vendor Track session, and/or
- a Sponsorship event, and/or
- participation in the CTUG Passport to Prizes program
Vendor Tracks
There are a total of 9 Vendor Tracks session slots available (3 in the morning and 6 in the afternoon).
Vendor Track sessions are assigned by CTUG to requesting vendors on a first come / first serve basis as determined by the vendor's registration time.
Vendors qualifying for a Track session will need to promptly submit payment to secure their Track session reservation, failure to do so will cause loss of the reservation. Vendors will also need to send to CTUG their Track title, abstract, and speaker information so that CTUG can update the Conference website pages and promote the vendor's participation in the Conference.
Time slots for Vendor Tracks will be assigned based on a combination of 2 factors; time of registration and best logical placement according to the nature of their indicated topic. Ideally, competing vendors will not be assigned Track sessions at the same time. CTUG cannot guarantee that this will not occur but will make every effort to assign qualifying Vendors to sessions times that are best suited for the CTUG audience.
Exhibition Equipment
Computer Systems
Each vendor is advised to bring their own computer equipment. CTUG will provide a projector if presenting a Vendor Track session.
Although 120V/60Hz power will be available at each vendor booth, it is advisable to bring your own power bar/extension cord.
Internet Connection
There is no LAN or wireless Internet access provided during the Conference. Please make your own arrangements if Internet access is needed.
Passport to Prizes
This conference-building event has enjoyed great success in the past conferences and is a feature again of the CTUG Conference. All attendees are provided with a blank "Passport" card containing each participating vendor's logo and/or name. Each participating vendor will receive a unique stamp to be applied to their logo/name on the attendee cards as they visit the vendor booth.
Vendors are encouraged to participate in this no-charge conference event — a great way to ensure booth traffic and meet the CTUG membership! Vendors need only donate a gift of their choice to CTUG, to be awarded by the vendor at close of the Conference; the vendor will draw from a hat one successfully completed "Passport" card and present their gift to the lucky attendee winner.
Vendor Booth
A 6'x 6' space will be provided for each vendor to set up their booth. A skirted 2'x 5' table and 2 chairs will be provided. The exhibition floor is strategically located with the intent to maximize accessibility to attendees. Power outlets are limited and vendors are advised to bring their own power bars and extension cords.
Vendors may set up their booth starting at 8:00 AM on the day of the conference. Vendors are advised to bring whatever is required to erect their booth, i.e. material to be displayed for which a table alone is inadequate. Vendors are not permitted to attach any posters/signs/banners/etc. to the building in any way (walls, pillars, etc.).
QR Codes
Important Information for collecting attendee contact information at the conference
CTUG is pleased to provide a new method of attendee contact information collection by way of the QR bar code technology.
Attendee badges will contain a QR code containing their name, company, and email address as provided to CTUG upon registration.
You may capture this information when attendees visit your booth by scanning their name badge.
You will need a mobile phone with a camera and software capable of capturing text from a QR code. Most phones support this technology and there are several free QR code capture downloads available.
A good site for more information is www.mobile-barcodes.com.
IMPORTANT: Your QR code reader must be able to interpret text. Some readers will only interpret URL’s and will not be able to read the QR codes used at CTUG. We recommend testing your phone and software prior to attending CTUG. Below is a sample QR code. There is an email address within this QR code. Please send a message to the email address within and we will respond to confirm your successful capture of the QR code text.
- If you are using an iPhone, we suggest using the QuickMark software.
- If you are using a BlackBerry, we suggest using the UpCode software.
These are only suggestions and we do not have the resources to test all software on all devices. Please ensure you test your own phone to ensure you are able to participate in the capture of CTUG attendee information.
